Dear Program Committee:
Kris and I are writing to update you on the progress made to date on the
program committee¹s Presidential Sessions for the 2011 AERA Annual Meeting.
We received draft proposals from 6 of the program committee working groups
by the first deadline. Kris and I provided substantive feedback by July 15
and returned the proposals to the relevant working groups. We have only
received 3 revised proposals as of this writing that will be posted to our
shared online workspace shortly for feedback from the whole committee. Once
all proposals are received, we will ask you to vote on which proposals
should be advanced as a Presidential Session.
We are working to meet an important set of AERA deadlines to permit timely
scheduling of sessions and publicity about the program. Therefore, we need
to know where you are in terms of finalizing your proposals. In order to
finalize the program, we need your assistance with the following:
1. Please let us know by September 30 whether or not you are working on a
proposal revision or an initial proposal (three groups have not sent in a
proposal to date). If you are working on an initial proposal, please let us
know what that is.
2. All proposals‹whether in revision or new‹need to be submitted in full no
later than Friday, October 8, 2010 or we may not be able to advance it to
the Program Committee for consideration. Proposals should include the
specific speakers (and any alternates, as appropriate).
3. The plan is then to receive any feedback from Kris and me by October 15,
2010, with FINAL revisions of all proposals submitted by October 20 and
voting by the Committee on October 21-22.
This timeline is well beyond what we discussed in June and is aimed at
providing the Committee with maximum flexibility within the constraints of
selecting up to 9 Presidential Sessions that are advanced and vetted by the
Program Committee. We thought these target dates would help move the
Committee¹s work ahead. Please help us by letting us know what you are doing
or planning on doing with your session.
Once the session proposals are accepted, we will need to move quickly to
confirm speakers. Kris and I want to help as much as possible, so we are
putting together a letter on AERA letterhead that you can use as an e-mail
attachment when you contact potential speakers. We will send that letter
well before final selections are made.
Our schedule for confirming speakers is as follows:
* Those of you who are organizers of selected sessions will be notified on
Monday, October 25, 2010. Organizers will need to send out invitations to
speakers that week and, in any event, no later than Monday, November 1,
2010. The letter that Kris and I are sending should be adaptable for your
use. We recommend a deadline for confirmation of November 15, 2010 in case
you need to turn to alternates.
* Please finalize and confirm all speakers participating on your
Presidential Session no later than November 30, 2010. Confirmation of
commitments from speakers is important to the substantive integrity of the
session as it is planned. Please be sure that agreements are firm.
* If confirmations are not received by November 30 (at the latest), the
session will be removed from the program. (If the session cannot be salvaged
by December 10, 2010, we will develop a fresh session).
